Export data capability is the practical guarantee of data ownership: it lets organizations back up records, feed external analytics, and migrate away without being held hostage. Evaluation should not stop at whether export exists; the questions are what can be exported, in which formats, with what history, and how automatically. Full export coverage includes attachments, comments, configuration, and relationship structures, since partial exports leave critical context behind. Schedules and APIs matter for ongoing needs, because manual downloads become recurring overhead in analytics workflows. Export also carries risk: extracted data lives in new locations, so transfers should respect access controls and retention policy. Buyers should test the worst-case export during the trial period, including volume and format realism, and confirm contractually that export access continues at the end of the agreement.
